This notice covers chessparty.com, every ChessParty edition published on the platform and the private staff workspace.

Information we process

When you visit the public website, our systems may process technical request information such as IP address, browser and device details, requested pages, timestamps, security events and application errors.

The staff workspace additionally processes names, email addresses, password hashes, email verification and two-factor security state, invitations, edition roles, permissions and an audit history of staff actions. The platform does not offer public user accounts.

Edition content may identify guests, staff, partners or other participants when authorized editors publish that information for an event.

When you arrive through a campaign link or use an admission-ticket link, we may process the edition, incoming UTM campaign values, referring website host, ticket-link placement and whether the same browser session returned from the external provider. We retain these as aggregate daily counts without session identifiers, IP addresses, customer details, order data or payment data.

If you allow optional public-site tracking, Google Analytics measures visits and Google Ads, Meta Pixel and TikTok Pixel may measure marketing activity. These providers may receive public page addresses and technical browser information. With marketing consent, a first visit to the ChessParty ticket return page can trigger an advertising conversion, including a Meta Purchase event using a historical estimated value of 400 NOK. This return is not verified purchase data. Your optional choices are stored for up to 180 days.

Why we use information

We use personal data to operate and secure the platform, provide edition information, manage staff access, deliver account and invitation emails, investigate errors, prevent misuse and maintain accountable publishing workflows.

Depending on the situation, processing is based on our legitimate interests in operating a safe and reliable event platform, steps connected to an agreement, consent where it is requested, or a legal obligation.

We also use aggregate ticket-conversion signals to understand which campaigns and public ticket placements help visitors continue to the external provider. A return to ChessParty is not treated as proof that a purchase was completed.

Optional statistics, marketing and external video embeds run only after the visitor chooses the corresponding category. These services are limited to public pages, not the staff workspace.

Service providers and external links

We use specialist providers for cloud hosting, databases, object storage, email delivery and application monitoring. The production setup may include Laravel Cloud, Cloudflare R2, SendGrid and Laravel Nightwatch. Optional public-site providers include Google Analytics, Google Ads, Meta, TikTok, YouTube and Vimeo when you allow their category. Operational providers process information to deliver their services to ChessParty and are subject to contractual and security requirements.

Edition pages may link to independent ticketing, registration, video and partner services. Their own privacy terms apply when you open or interact with those services. Where information is transferred outside the EU or EEA, we use an applicable transfer mechanism and safeguards.

How long we keep information

We keep personal data only for as long as it is needed for the purpose for which it was collected, including platform security, operational continuity, auditability and legal requirements. Retention differs by record type. Expired invitations and sensitive operational content are removed or reduced when they are no longer required, while necessary audit records may be retained for accountability.

Your rights

Depending on the law that applies, you may ask for access, correction, deletion, restriction, objection or portability of your personal data. You may also withdraw consent for future processing where consent is the legal basis.
